Job Description:

This position is responsible for the strategic planning, production and execution of Deloitte meetings and events within the portfolio of Deloitte’s Office Meetings Center of Excellence (“COE”). These include live meetings occurring in our practice offices, as well as hybrid and virtually delivered modalities, with a primary focus on nationally developed events. The position requires advanced meeting and event planning expertise from logistics management and technical support to ensuring flawless execution.

This position demands a significant amount of interaction and communication with senior leadership, as well as clients. This position will work in a creative and innovative way, to continually improve the processes around event coordination, as well as work closely to support One Team’s mission to achieve operational excellence and deliver exceptional client service. This role provides a unique opportunity to support events on a national level, while providing a specialized focus on office best practices. While this role is aligned to a national event specialty team, it’s expected that this role work collaboratively with the respective co-located office to understand office protocols, culture, and best practices.

You will work in a creative, efficient, and innovative way to continually improve the processes and practices around scheduling virtual and hybrid events. Additionally, this position may participate in strategic projects established by Event Enablement leadership and driving technology strategy and integration for in-office and virtual meetings and specialty spaces to optimize processes and enhance the experience for practitioners

Responsibilities:

  • Specialized knowledge in organizing and producing all logistical aspects of virtual and hybrid delivery modalities.
  • Provide a client-centric, consultative, and solutions-oriented approach to logistics planning, communication, and overall client experience.
  • Requires advanced scheduling expertise and demands a significant amount of interaction and communication with senior leadership, as well as clients
  • This position will work in a creative and innovative way to continually improve the processes around scheduling and producing events
  • Serve as initial point of contact for all requestors and delivering exceptional client service while understanding and managing client service sensitivities
  • Strong working knowledge of Microsoft Programs such as: MS Word, PowerPoint, Excel, and Teams, to participate in projects, as directed
  • Frequent interactions with internal clients and outlining full event support, that will be equitable and engaging
  • Adds value to customer experience through critical thinking, anticipating needs and offering additional services/support, if appropriate
  • Handle sensitive/confidential information requiring a high level of discretion and customer service for clients
  • Laisse with other groups within the organization, including but not limited to schedulers, registration, and meeting specialists to ensure effective communication and accuracy.
  • Project Management: Ability to understand evolving scope, deadlines, and forecasts.
  • Assume responsibility for supporting virtual events across various time zones.

  • Excellent customer service skills. Consults and drives the event process on behalf of the customer, providing expertise as a subject matter expert, to meet event objectives.
  • Advanced expertise in Zoom virtual event support and production (managing breakouts, spotlighting, final attendance reporting, run videos, transition slides, build out run of show, manage speaker contracts, etc.).
  • Demonstrate strong technical proficiencies, written, and verbal communication skills
  • Ability to prioritize event requests and customer needs, using good judgment and logical thinking.

Qualifications:

  • Bachelor’s or Associates degree, preferred.
  • Minimum 3 – 5 years of relevant work experience in a virtual/hybrid support or event services environment.
  • Experience with event management and/or scheduling software, preferred.
  • Advanced proficiency in Microsoft Office.
  • Excellent written and verbal communication and interpersonal skills
  • Excellent critical thinking and ability to anticipate needs
  • Effective problem-solving skills
