Situation: The Port of Long Beach came to us to support one of their most important events, their Centennial Celebration. While not originally awarded the project, our team jumped head first into the planning and execution of the events when asked by the Director of Communications of the Port. With a tight timeframe of a little over three months, we worked with the Port’s Event Manager and the extended team to develop three successful events over three days.
Solution: Our client had a vision and was looking for a partner who could scale to manage three events over three days. Working with tight deadlines, we supported the client in developing experiences for three different audiences; employees, customers and the Long Beach Community. In partnership with the client, we took a former terminal at the Port to create our own event experience including the overall event infrastructure. We managed the pre-production and planning process and executed the events. We managed an RFP process to select vendors to provide services and we helped manage the overall budget. We contracted vendors when appropriate or recommended vendors to contact directly with the Port. We reviewed all invoices to insure they were in budget alignment before being processed. With our knowledge of the industry and strict policy of no third party markup, we passed all cost savings to the client.
Result: The events were successful with emails and notes from the Community praising the Port on a fantastic celebration of the historic day. Survey results included 93 percent of respondents rating the experience excellent (72 percent) or good (21 percent).
