Job Description:

Assists US events team in planning, facilitating, and deploying the logistics and activities for meetings and events for the company. Manages small to medium projects or single projects of moderate complexity that may impact the corporation/division. Responsible for tactical and operational planning; drives resolution of project conflicts, escalates issues to Manager for immediate resolution. Responsible for sharing insights and recommendations regarding event performance, plans, and future execution, including analyzing data, compiling insights, and making tactical recommendations.

Job Responsibilities:

  • Assists US events team with planning, facilitating, and deploying the logistics and activities of meetings and special events annually including, but not limited to: Walgreens Boots Alliance CEO and Senior leadership team meetings; Board of Directors meetings; CFO and Investor Relations meetings/events; Walgreen Co. meetings; Communications and Events team meetings and other company meetings.
  • Collaborates with internal clients on the planning of events and corresponding deployment activities including hotel bookings, ground transportation, catering, venue selection, offsite dinners, and onsite support at events.
  • Assists in managing all tactical logistics of company meetings to include: planning meetings/conference calls, project plans and timelines, walkthrough plans and final walkthrough meetings with internal clients, venue RFP and site selection, travel needs, ground transportation, event communications and registration , guest speaker management (C-suite level), overall hotel/venue details, food and beverage planning, audio visual/production needs, off-site activities/dinners, onsite logistics, budget and expense reporting, post event debrief/feedback.
  • Assists in creation and production of event materials to include: signage, banner stands, name badges, tent cards, meeting agendas, and promotional items.
  • Collaborates with Communication and Events team and other corporate shared service teams to execute company meetings.
  • Works closely with Asset Protection to ensure security needs are covered.

External Basic Qualifications:

  • Bachelor’s degree OR a High School diploma/GED and at least 3 years of event planning experience.
  • Experience using time management skills such as prioritizing/organizing and tracking details and meeting deadlines of multiple projects with varying completion dates.
  • Experience developing ways of accomplishing goals with little supervision, depending on oneself to complete objectives and determining when escalation of issues is necessary.
  • Intermediate level skill in Microsoft Excel (for example: using SUM function, setting borders, setting column width, inserting charts, using text wrap, sorting, setting headers and footers and/or print scaling).
  • Intermediate level skill in Microsoft PowerPoint (for example: applying a theme, formatting character spacing, inserting a picture, changing slide layout and theme colors, adding transitions, customizing slide numbers, changing chart style and/or formatting font).
  • Intermediate level skill in Microsoft Word (for example: inserting headers, page breaks, page numbers and tables and/or adjusting table columns).
  • Willing to travel up to 10% of the time for business purposes (within state, out of state).

Preferred Qualifications:

  • Bachelor’s degree and at least 3 years of event planning experience.
  • At least 3 years of experience coordinating and scheduling multiple events simultaneously
  • Experience work closely with senior business leaders.
