Job Description:

The Events Manager’s main duty is to create and manage programming at a client portfolio to enhance the experience for tenants and visitors in order to create a sense of community on the property and virtually. The ideal candidate has a hospitable and creative personality reinforced with exceptional business acumen and tech-savviness. This position will both perform event planning duties and manage a team of Event Coordinators to operate the reservation process, customer service, client/team meetings, backup staff coverage and daily management of the assigned restricted conference room spaces.

Another goal for this position is to provide exemplary concierge services for client and as an informational resource for the client and facility team – arranging events, coordinating client vendors in support of meetings, services, gifts, and reservations. The Events Manager is also responsible for accurate reports detailing client requests and billing of services to the tenants and client.

Job Responsibilities-

  • Provide daily opening and closing services of all assigned meeting spaces. All areas will be inspected for overall cleanliness, meeting readiness, and proper end of day closing.
  • Provide reservation services for the monitoring of the restricted conference room database and help answer client requests and questions. Such reservation system to be provided and maintained by client .
  • Manage meeting and event planners who are proficient in effective meeting planning and special event planning.
  • Participate in meetings as needed to plan each event with client, work team, client team, catering team and all other meeting services teams.
  • Provide room logistics, room layout planning, room set-ups and room tours. Such data to be available on client’s software
  • Coordinate with event client coordinating the details and assisting only as needed throughout the event.
  • Provide additional help when needed in any of the restricted conference rooms.
  • H ave knowledge of conference room layout and service required to set up tables, chairs, stages, podiums and other required furnishings.
  • Provide pre-planning of staffing needs, flexibility in work schedule, ability to handle last minute requests, and quick turnaround time in-between events.
  • Upon client request, set up handheld microphones, lapel microphones, and change batteries in microphones as needed.
  • Provide basic A/V troubleshooting during events .
  • Work with client Media Solutions group to coordinate any client provided resources for AV Tech services, AV support, AV requests, AV repairs, AV trouble shooting, AV rentals, etc.
  • Coordinate event furniture moves with client Plant Engineering for all restricted conference rooms. provide a room diagram layout for all furniture moves and re-sets.
  • Provide furniture moves as needed for last minute requests or planned set ups with client approval.
  • Other concierge-related requests, as needed

Education And Experience-

  • Bachelor’s Degree or equivalent work experience
  • At least 5 years’ experience in marketing and event planning, including VIP guest service
  • Previous concierge or VIP retail experience highly-preferred
  • Proven leadership skills with the ability to manage multiple priorities and deliver results in a fast paced heavily matrixed environment.
  • Exceptional customer service skills with a passion for hospitality
  • Track record of initiative, integrity and good judgement.
