Meeting and Event Coordinator – Applied Systems

Job Description:

Applied Systems, Inc., a worldwide leader in insurance technology, is currently searching for a Meeting and Events Coordinator to join our Event Department. The Event Department is responsible for processing all requests relating to business meetings and events. The Event department handles all sourcing, procurement, and planning for company meetings and with heavy participation in Applied’s annual user conference.

What You’ll Do

  • Lead and contribute to the coordination of all aspects of conferences, meetings, and other events (pre-planning, occasional onsite execution, and post-event wrap-up), as assigned by Sr. Director.
  • RFP creation, monitoring, reporting, and administration
  • Occasionally perform site searches, provide recommendations, and negotiate hotel contracts
  • Produce event specifications and manage vendors for all aspects of events (hotel rooming lists, F&B, AV, transportation, etc.)
  • Assist in financial management including budget creation, monitoring revenue/expense performance
  • Develop and maintain solid relationships with suppliers
  • Contribute effective ideas to strategic planning and analysis processes
  • Assume planning responsibilities for multiple meetings
  • Demonstrated experience in event planning and execution, contract negotiation, logistics and management
  • Proficiency with basic computer programming, including the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

  • You are able to work both independently and in a team-oriented, collaborative environment
  • You have the ability to travel 10%, both domestic and international, and work overtime as needed to attend events and meetings (may include weekends)
