Job Description:

Morgan, Lewis & Bockius LLP is seeking an Event Planner in our Marketing & Communications Department. The primary responsibility of this position is to support the marketing events for our practice groups, industries and offices as well as our Professional Development team. This position will work closely with host attorneys, marketing and professional development colleagues, including practice group support teams, creative, web & database teams and outside vendors and venues.

The Event Planner is responsible for planning, logistical and administrative support for client-focused events. Additionally, the Event Planner may be asked to support internal programs, such as the Annual Global Partner Meeting, Professional Development & Associate Talent Team events, i.e. Associate Academies.

Candidates must be self-motivated and detail-oriented, committed to excellence in the workplace, and have outstanding organizational and anticipatory skills. This position requires the ability to work independently on multiple projects at one time, work well under pressure while managing to deadlines, and have the ability to work overtime and travel when necessary.

Responsibilities Include, But Are Not Limited To

  • Serve as the logistics lead on both internal and client-focused events (live and virtual) through life-cycle of event, including conception, planning, management, execution and post-event follow-up
  • Develop project task lists and timelines for events and the associated planning process
  • Venue research, sourcing and contract negotiations
  • Budget management and expense reconciliation
  • Venue logistics, including, menu planning, audio-visual equipment, décor, set-up, etc.
  • Vendor & speaker management
  • Registration and invitation assistance
  • Organize production of event related materials with stakeholders, including signage, print materials, name tags, promotional giveaways, etc.
  • On-site execution and management of event, to include venue & event staff management
  • Assist on large firm events/projects including the Partner Meeting
  • Coordinate with Group Travel as required, including working with the Global Travel Manager and travel management company to oversee program travel requirements
  • Oversee and support the buildout of CVENT registration sites
  • Work with the firm’s Mobility team on the creation of any required event apps
  • Organize some firm sponsorships and trade show participation
  • Maintain the firm’s Marketing Event Calendar and Tracking Database (pull reports, update items, etc)
  • Maintain office event inventory & shipments, i.e. banners, registration supplies, etc.
  • Tracking and reporting of firmwide event data (webinars, live events, etc.)

Supervisory Responsibilities

This position has no direct supervisory responsibilities, but may oversee or direct the work of others on special events or projects.

Education And Experience

  • Bachelor’s Degree (in a related marketing discipline) from a four-year college or university; and a minimum of three years of corporate and/or legal event planning experience
  • Experience with CVENT (CVENT certification preferred)
  • Law firm or other professional services firm experience preferred
  • Experience with OnArrival, InterAction, Webex, On24 and Microsoft Teams a plus
