Job Description:
This role provides logistics, support and management for Chubb-sponsored meetings, events and hospitality programs. Chubb events are well known in our industry due to our emphasis on executing a great event experience for our clients and partners. The ideal candidate will possess strong project management skills, be detailed oriented, capable of managing multiple projects simultaneously, self-motivated, partners well with different groups, self-directed and have the ability to work confidently as the primary contact with senior-level management.
Scope:
The Event Manager reports to the Vice President, North America Events & Sponsorship, Chubb North America.
Responsibilities:
- Serve as the primary planner for the entire life-cycle of select Chubb-sponsored events, meetings and hospitality functions
- Act as the primary point of contact for all internal departments and external event attendees
- Coordinate and execute all pre-planning, on-site and post-event logistics not limited to:
- Assistance with the guest invitation and registration process
- Management of hotel rooming blocks
- Meeting space coordination of food & beverage, room layouts, seating assignments, name tags, décor and A/V as needed
- Ground transportation arrangements for guests though local vendor
- Reconciliation of post-event finances, recaps and analytical presentations
- Manage the relationship and scope of work with venues and other third-party vendors
- Lead all event related communications from internal planning calls to drafting written correspondence for external guests
- Work with internal groups to produce necessary creative and production elements
- Handle negotiating, invoicing, and expense tracking for contractual relationships with venues, DMC’s and other vendors
- Ability to adhere to pre-forecasted budget figures, manage and balance assigned budget per event, as well as work within established company guidelines
- Possess a solid understanding of the Cvent registration system, as well as the ability to oversee and lead the registration process for all North America events
- Ability to manage one direct report who oversees the daily administration of Cvent
Qualifications:
- Bachelor’s degree required
- 7+ Years of experience in an event or hospitality role
- Excellent oral and written communication skills
- Analytical skills with a high degree of attention to detail
- Proficiency with CVent required; Ability to learn additional third-party software systems
- Proficiency with Microsoft Word, Excel, PowerPoint, and Outlook
- Familiarity with hotel, venue and vendor contracts
- Capable of prioritizing projects and taking initiative when necessary
- Ability to travel 30-40%; Accessible on nights and weekends as needed
