Job Description:

Events Coordinator responsibilities include supporting the solicitation of sporting events through responding to RFPs and preparing presentations as assigned. Further sales related responsibilities include the organizing and scheduling of site visits, as well as coordination and support of local organizing committees. Additionally, the position will require event coordination including aspects such as, but not limited to the planning, marketing, and operational implementation of HCHSA supported events.


  • Support the design and implementation of effective sales initiatives and bid presentations
    • Event research, content creation, data input, and presentation support
  • Plan and support sport and event development activities to include:
    • Preparing successful bid proposals for selected events
    • Plan, coordinate and assist in facilitating site visits
    • Establish strong relationships with key local influencers and events rights-holders
    • Attend sports-related tradeshows and meetings to promote the region and/or HCHSA events
    • Create, prepare and assist in delivering effective sales presentations to site-selection committees
  • Develop and maintain a sports and events database to support sales efforts
    • Includes pertinent information for sports organizations, leagues, teams, and event committees that could potentially bring business to the Houston area
  • Support and serve on event local organizing committees
    • Prepare presentations
    • Record meeting minutes
    • Maintain communication with committee members
  • Coordinate operational aspects of events as assigned
    • Help negotiate contracts for venues, hotels, vendors, and suppliers of the hosted event
    • Coordinate activities of all vendors, suppliers, and sponsors for hosted events as needed
    • Communicate volunteer needs to appropriate staff members to ensure the needs of the event are being met
    • Work with local and government agencies on event permitting or land usage
  • Events department administrative responsibilities as assigned
    • Assist in writing and organization of event post reports for all HCHSA events
    • Preparation of site visit itineraries
    • Travel coordination for tradeshows, site visits, and sales efforts


Four-year degree in sports marketing and experience in event planning preferred; ability to communicate both orally and through written work a must; able to prepare spreadsheets and presentations; working knowledge of Microsoft Office products; ability to multi-task on several events in various stages of completion; demonstrate organizational, interpersonal and problem-solving skills; knowledge of the Houston community and sporting venues.  The applicant must be an enthusiastic team player willing to travel at times, and work flexible hours to include evenings, holidays, and weekends when needed.  Physical requirements on occasion:  Must be able to stand for 7 hours with minimal breaks, as well as lift and carry objects up to 50 pounds, up to ten times in a row.
