Job Description:

The role of Event Coordinator, Executive Briefing and Hospitality Center Programming is an integral part of a strategic, integrated, and effective Fiserv event organization, which is focused on designing experiences that are relevant, essential, and innovative to meet attendee needs, while continuing to drive significant and tangible impact to the business overall.

This position will report to the Director, Executive Programming and Events (interim reporting to the Vice President, Executive Programming) and will deliver services and orchestrating reservations, room configurations, food service catering, Audio-Visual requirements, copy/print support and all other services for the CEC meeting and conference rooms. The position coordinates with the Facilities Team to deliver flawless experiences for all meeting and events held within the facility.

Job Specific Responsibilities

Event Coordinator, Executive Briefing and Hospitality Center Management:

  • Coordinate and deliver the complete Client Experience Center (CEC) guest experience through a matrix-managed service delivery model utilizing the capabilities of the onsite production, catering, facilities and security teams along with the assistance of other business partner resources that will assist in providing a flawless experience.
  • Manage and update the scheduling system, BriefingEdge, to perform in a way that is most conducive to the needs of the CEC. Serves as the liaison between associates and the program tech for any glitches within BriefingEdge.
  • Inform and train associates/hosts/requestors on the proper use of the CEC processes and systems; such as BriefingEdge, meeting technology/production and Facilities Services requests.
  • Collaborate with the meeting host to produce successful meetings and events. Details and reviews every request / requirement to ensure hosts expectations are met.
  • Manage and resolve conflicts between requestors seeking to reserve space within the CEC. Establishes and confirms scheduled room reservations and indicate when precedent/priority reservations may result into relocation/rescheduling of a reservation.
  • Schedule and produce pre-arranged security badging and baggage handling arrangements to enhance initial client impression.
  • Arrange and program electronic welcome boards for visitors in house the day of visits.
  • Work to assure that all plans and functions are pre-checked prior to client’s arrival guaranteeing all details meet requestor’s requirements as well as the Centers defined operating standards.
  • Oversee the overall execution of programs including all pre, onsite and post event activities.
  • CEC and building tours when requested.
  • Conduct daily meetings to review the details and requirements for upcoming meetings/events with Facilities support team. Provide day of assistance where needed and ensures that details and meeting requests are up to the standard of service prior to the start of the meeting/event.
  • Any other duties relating to providing a positive guest experience.


The successful candidate will have:

  • Relevant business experiences in progressively responsible positions within the experience/events/hospitality function.
  • Demonstrate skill in project operations and handling multiple deadlines and schedules.
  • He/she will have a proven track record within a hospitality setting which demonstrates the ability to plan and to manage the business issues surrounding events.
  • Excellent verbal, written, and interpersonal communication skills and ability to edit and proofread with accuracy.
  • Consummate professional demeanor and ability to work with high level executives.
  • Adhere to strict confidentiality and information privacy requirements.
  • Keen attention to detail and follow-up necessary to deliver consistent, high-quality documented results.
  • Ability to effectively prioritize and execute tasks in a high-pressure environment.
  • Detail-oriented.
  • Comfortable working in a matrix-management organization
  • 1-2 years of hospitality/events experience is suggested.
