Job Description:
General Insurance is a leading provider of insurance products and services for commercial and personal insurance customers. The ideal candidate will be located in the New York City area with the ability to work from the office three to four days per week, which is consistent with AIG’s global guidelines.
Scheduling & Logistics
- Support North America Events team with execution and logistics on all events.
- Provide on-site event support, as needed.
- Responsible for researching, vetting, and updating lists of vendors including caterers, florists, entertainment, décor, gift ideas, speakers’ bureaus, DMCs, restaurants and venues.
- Book flights/hotels/cars for North America Events team.
- Order and restock office supplies and special event supplies.
- Inventory supplies and branded items.
- Book conference rooms and schedule meetings.
- Pack, ship, and track event supplies and/or collateral to events.
- Create and print event materials including name badges, tent cards, and dinner cards.
- Assist with briefing books.
- Submit guest names to building security.
Database Management & Administration
- Assist with proofing and editing collateral materials, registration websites, and invitations.
- Assist with registering all events in Cvent.
- Submit monthly Concur T&E expense reports for North America events team.
- Submit monthly Visa Meeting Card expense reports and check requisitions.
- Submit and process event invoices and track checks and wire transfers.
- Maintain North America Events Calendar
- Develop site visit itineraries.
- Manage Events Team and Executive Leadership Team Contact Lists.
- Maintain the department’s monthly event calendar and staff plan
- Additional event-related responsibilities for upcoming events to be further defined once on board.
What we’re looking for:
- Bachelor’s Degree with preferably 2+ years in Event Management, preferably in Professional Services or Financial Services.
- Must be able to multi-task and be comfortable working in a fast-paced environment.
- Strong project and time management skills. Must be able to prioritize projects.
- Proficient in Microsoft Word, Excel, and Power Point.
- Strong communicator – both written and oral.
- Some travel will be required; 10% – 20%.
