Job Description:

WEX is seeking an organized and strong attention to detail Corporate Events and Sponsorship Manager to join their growing team of 10. The position is part of the Corporate Marketing & Communication team based in downtown Portland, ME.

Having a confident demeanor and service-oriented mindset, this role will partner with corporate management in planning and executing programs, conferences, board, and employee events. They will also be responsible for vetting and lead on all WEX sponsorships. This includes the end to end design and delivery of events consistent with corporate strategy for WEX. Events can include executive leadership off-sites, employee rewards and events, sales or product training conferences, multi-day programs, receptions/dinners, external talent and internal executive speaking engagements, etc.

This role will need to physically attend all planned events to ensure successful execution. Most events are within the corporate headquarters thus having the ability to work in Maine is ideal.

Performance Objectives

The ideal candidate will have the opportunity to:

Event Management (Executive and company-wide)

  • Flawlessly plan and execute all aspects of meetings and events, both in-person and virtual, including financial planning/budgeting, program proposals to leadership for review and approval, communications, attendee registration, tracking and reporting, etc.
  • Utilize strong project management skills to plan employee engagement events, town halls, webcasts, etc.
  • Coordinate internal employee events – both virtually and in person – including DEI Events, Employee Appreciation, etc.
  • Collaborate with support partners and vendors on production of invitations and websites, venue selection, room décor, set-up, and clean-up
  • Identify, vet, and secure any required food and beverage/catering, technology/entertainment, location rental, insurance, etc.
  • Oversee all on-site logistics, attending events, acting as point person.
  • Think outside the box and bring innovative ideas and solutions to keep our events dynamic and engaging.
  • Lead pre-event promotions to drive target registrations and attendance, and post-event communications to maximize the impact of the event.
  • Maintain a network of partners to assist with various aspects of event management, including venue sourcing, production, branding, and onsite logistics.

Sponsorships

  • Proactively search for and evaluate national and worldwide sponsorship opportunities.
  • Evaluate and respond to all incoming sponsorship requests.
  • Work in collaboration with corporate philanthropy team as appropriate on sponsorship opportunities.
  • Track and manage annual sponsorship budget.

Budget And Expense Management

  • Support the budget and track expenses.
  • Invoice reconciliation.
  • Event operational support such as updating forecasts and budgets.
  • Adherence to all compliance related requirements.
  • Registering events in various systems, and updating post-event attendee lists for accuracy.

Qualifications

  • Bachelor’s degree, preferably with a focus on event management or business.
  • Minimum 7 to 10 years experience in corporate meeting planning for a public company.

  • Experience working directly with CEO and ELT level executives
  • Requires flexibility to work outside normal business hours
