Job Description:
Results oriented position, responsible for the planning and management of trade shows and annual meetings/conferences for fast-growing biopharma Company, ensuring their standards of excellence are met. Work with business leaders, vendors, public relations agencies, etc. across the globe, using marketing tools to promote the exhibitions and meetings/ conferences in accordance with the Company’s guidelines. Assists in establishing and monitoring budgets, managing suppliers/vendors, and identifying appropriate media partners and associations to maximize results.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Plan and execute national, regional and/or international trade shows and annual meetings
- Plan and execute corporate meetings, events, and dinner presentations; negotiate rates and benefits as directed
- Collaborate with business leaders and Marketing to develop exhibit/meeting budget, theme, messaging, exhibit and equipment graphics, and support material requirements (literature, demo samples, etc.) – providing timelines to ensure materials and graphics are delivered according to event deadlines
- Work with Corporate selected vendors to create exhibit floor plans, set-up drawings, manage and track trade show properties; arrange transportation of properties (when needed)
- Manage show services including flooring, lead retrieval systems, electrical, furnishings, cleaning, drayage, etc.
- Coordinate schedules for show property detailing and move in/out logistics
- Provide onsite execution and management of key trade shows, including set-up and teardown as needed
- Develop and distribute internal pre-show and post-show communications
- Work with travel department and internal business partners to manage hotel arrangements, show registrations, exhibit staff attire, and any required promotional items
- Analyze, compile, and summarize results from surveys and other feedback to develop post-event reports
- Assist in managing trade show budgeting process, including estimating, tracking to budget, invoice tracking, and reconciliation of final expenses

- Performs full range of standard professional level work that typically requires processing and interpreting, more complex, less clearly defined issues. Identifies problems and possible solutions and takes appropriate action to resolve.
- Demonstrates skill in data analysis techniques by resolving missing/incomplete information, inconsistencies/anomalies in more complex research/data
DECISION MAKING/SCOPE OF AUTHORITY:
- Nature of work requires increasing independence; receives guidance only on unusual complex problems or issues
- Work review typically involves periodic review of output by supervisor and/or direct “customers” of the process
SPAN OF CONTROL/COMPLEXITY:
Fully competent and productive professional contributor, working independently on larger, moderately complex projects/assignments that have direct impact on department results
EDUCATION/EXPERIENCE:
- BS/BA in related discipline
- 2-5 years of experience in related field with 1-3 years of progressive responsible positions, or verifiable ability
OR
- MS/MA and 1-3 years of experience in related field. Certification is required in some areas
- Prefer event planning and management experience in a corporate environment
- Domestic trade show planning and management experience, international show experience a plus
- Functional understanding of marketing strategy, planning, tactics and tools; budget planning
- Certified Meeting Professional (CMP) a plus

- Proficient in MS Office
- Proficient in multi-tasking, prioritizing several simultaneous projects, and meeting deadlines

WORK ENVIRONMENT:
The work is partially performed in a normal office environment, but also at meetings, exhibitions, and trade shows. May require up to 50% travel.
