Job Description:
The Atlantic Council seeks a talented, driven, and entrepreneurial leader to the planning and execution of the organization’s international convenings. The Associate/Deputy Director will work closely with the Director of Global Events in planning and executing large broadcast-quality productions as well as small or medium size events and private convenings with diplomats, senior domestic and foreign officials, and global leaders across the world. The ideal candidate will have experience producing in-person, hybrid, and virtual events, and must communicate effectively, enjoy fast-paced teamwork, and execute any size of event under the pressure of a global audience.
During times of high demand, the Associate/Deputy Director will be tasked to take the lead in managing on-site, off-site, and overseas events to ensure smooth execution and that it consistently meets the quality and standards of Atlantic Council events. The Associate/Deputy Director will work closely with program staff in the planning of events and act as a liaison between the Events Team and programs and centers. The selected candidate will work directly with senior global figures and executive leadership to ensure that each event is produced at the highest levels along with a superior degree of hospitality, confidence, and organization. The candidate will play an important role in global flagship conferences as well. International travel is required.
The Atlantic Council offers a competitive compensation package commensurate with experience. This role is preferably based in our Washington, DC headquarters on a hybrid schedule, though it could be fully remote for the right candidate.
Responsibilities
- Support global flagships and other events, including overall planning, production, travel logistics, VIP managements, venue arrangements, etc.
- Request proposals and negotiate vendor contracts.
- Prepare event budgets and manage vendor relationships, including hotels, AV, caterers, florists, design, etc.
- Assist on managing production and visuals as well as set-ups for live events that translate to high quality broadcast productions.
- During times of high demand independently coordinate onsite, offsite, and virtual events, including coordinating VIP arrivals, departures, security measures, guest management, and AV coordination.
- Brief speakers and assist with staging re-sets, seating assignments, as well as production timing.
- Draft event material such as speaker invitations, event invitations, talking points, and additional writing assignments, as necessary.
- Prepare briefing memos and proposals.
- Coordinate with the Executive Office on VIP attendees (Heads of State, government officials, ambassadors, and other members of the diplomatic corps, CEOs, Board of Directors) to ensure they are received and managed with respect to protocol and other requirements.
- Work with security details of domestic and foreign government officials to coordinate holding rooms, private entrance and exit points, and additional security measures.
- Assist Director of Global Events and the Events Team in performing administrative tasks, as necessary.
Qualifications
- Bachelor’s degree in a relevant field required.
- A minimum of 4 years of professional event experience in a related field are required for the Associate Director level.
- Previous experience executing small, medium, and large-scale events, with a focus on production, logistics, and operations.
- Interest in foreign policy and/or the core mission of the Atlantic Council.
- Superior communication skills: candidate must be able to communicate and interact with all levels of staff and senior diplomatic officials.
- Ability to represent the Atlantic Council to external constituencies, such as senior officials, board members, donors, and individual and corporate members, as well as external vendors.
- Excellent organizational, logistical, and administrative skills.
- Strong research and writing skills, and the ability to present ideas and event plans effectively.
- Ability to travel internationally; overseas experience is preferred.
- Foreign language skills a plus.
- Ability to work irregular hours, evenings, and some weekends.
